Key Issuance Policy
Key Requests
Keys, access cards and remote gate openers may be requested through the SDSU Research Foundation (Foundation) Facilities Planning and Management Department (Facilities), via the Key Request Form found here: Work Requests and Services and emailed to the Facilities work order desk at sdsurffacilities@sdsu.edu. Key Request Form(s) shall be filled out with all required information and signed by Principal Investigator (PI) or Lessee. If approved by Facilities management, PI/Lessee shall be furnished with up to ten (10) keys at no cost. Additional keys may be requested, and a fee may apply.
Project keys are issued to individuals, not departments; however, if a special request is granted to a PI for the issuance of multiple keys for multiple staff, the PI shall maintain their own records for accountability. Lessee keys shall be issued pursuant to their lease terms. The person signing for the key(s) shall be responsible for the key(s) and all associated replacement/re-keying fees as necessary if lost or stolen, and shall ensure the key(s) are used only by the individual to whom they were issued, and that they are accounted for at all times. Keys and access cards shall not be loaned to others under any circumstances.
If applicable, a mailbox key may also be obtained through Facilities pursuant to the process described above.
Keys can be picked up at: 5250 Campanile Drive, 4th Floor, Facilities desk, 9245 Skypark Court Suite 128, or 6367 Alvarado Court Suite, 300, between the hours of 8:00 AM and 4:00 PM. Keys may only be picked up and signed for by the person for whom the keys are requested. Employees must show their Red ID when picking up any key. Please allow a minimum of three (3) working days for the request to be processed. The requester will be notified when the keys are ready for pickup.
All Foundation keys, including access cards, mailbox keys and parking remotes, are the property of the Foundation and must not be duplicated.
Locks
PI/Lessee shall not change locks or install new or additional locks, access cards, or bolts on doors without prior written approval by the Foundation. These items are installed by Foundation staff only (within Foundation-owned properties) and by building owner with Foundation’s consent (in non-foundation owned properties).
Lost Keys/Re-Keying
Requests for re-keying a room/suite shall be made to the Facilities office via written request at sdsurffacilities@sdsu.edu, or via phone if an emergency at (619) 594-5761, and will be approved on an individual basis. Please report any lost or stolen keys, access cards or remote gate openers to Facilities immediately, at (619) 594-5761. Replacement of keys, or re-keying at PI/Lessee’s request or when there is a security threat to a building(s), or portion thereof, may result in charge-back fees at cost for materials and services provided, or as determined by Facilities.
The Foundation is not permitted to provide access to people locked out of their room/suite, unless authorization is provided by the person’s direct supervisor and approved by Foundation management. Please do not ask Foundation vendors and/or contractors to provide access. For the safety of building occupants, vendors, contractors and Facilities staff are directed to not provide access to anyone.
All individuals replacing a lost, stolen or broken key or access card are required to fill out and submit a new Key Request Form per the process described above.
Key Returns
All keys, access cards and gate openers must be returned to Facilities upon separating from association with the Foundation, or termination of project or lease. Keys can be returned to any one of the pickup locations mentioned above, or mailed to:
